Seeing who emails you most

Working out who actually fills your inbox, and what to do with the answer.

Most inboxes are dominated by a handful of senders. Knowing which ones is the fastest way to make an inbox smaller, but neither Outlook nor Apple Mail will simply tell you.

Outlook: sort and count by hand

Switch the view to Arrange By, then From. That groups mail by sender and you can see which groups are largest. It is rough, it only covers the folder you are in, and it says nothing about when they write or what they send.

Outlook rules and Clean Up

Clean Up Folder removes redundant messages inside threads, which helps with long internal chains. Rules can file a noisy sender automatically once you have identified them. Both are useful after you know who the culprits are, not for finding them.

What actually answers the question

You want a ranked list of everyone who has written to you, how often, when they tend to write, and what they have sent. That is a report, not a search, and mail clients do not produce it.

KAM-Q's People view is exactly this list, built from the index on your own computer. Open any name to see every message and every file from that person, in one place.

KAM-Q builds a private search index of your mailbox on your own computer, so results appear as you type. It works with classic Outlook on Windows and Mac, and with Apple Mail. Your mail never leaves your machine. Try it free for 7 days.
